Office and Operations Manager

Position Summary

Tax Foundation Europe, an AISBL based in Brussels, Belgium, is seeking a hard-working, detail-oriented individual to serve as its Office and Operations Manager. We need someone who can understand, sort through, and improve overall business operations matters, particularly pertaining to international regulations. The person in this role must be a self-starter who believes strongly in Tax Foundation Europe’s mission and has the drive, attention to detail, and skillset to help keep the organization and its executive leadership running efficiently. 

This is a full-time position based in Brussels, Belgium.

Essential Functions

  • Oversee all operations-related resources, such as IT, HR, finance & accounting, property management, and legal services
  • Serve as primary liaison to Tax Foundation Europe vendors
  • Oversee office administration, including office space, building maintenance coordination, and supplies and inventory
  • Coordinate recruitment, hiring, onboarding/offboarding, benefits administration, and payroll
  • Support accounting and finance tasks, including credit card reconciliation, accounts receivable support, and employee reimbursement oversight
  • Manage all subscription accounts, including standardizing payment methods and contact profiles
  • Coordinate organization-wide activities, including internal meetings and special events
  • Support the board of directors and Director of European Policy in scheduling and travel logistics  
  • Handle other office and operations functions as assigned or needed

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment, such as computers, phones, and photocopiers.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours are Monday through Friday, 9h00 to 17h30 CET. Some travel and extended hours may be required.

Preferred Education, Experience, or Qualifications

  • English fluency is required; fluency in one or more European languages is a plus
  • Knowledge of event venues in Brussels
  • Familiarity with finance and accounting processes and principles

Minimum Education, Experience, or Qualifications

  • Bachelor’s degree in relevant field or equivalent experience
  • 3+ years of experience in a prior office management/coordination role
  • 1+ years of experience handling general HR responsibilities
  • Proven track record in developing operational solutions for a small organization
  • Excellent organizational skills and ability to independently prioritize projects and deadlines
  • Excellent communication skills and ability to build strong relationships and interact with people at all levels of the business
  • Collaborative mindset and approach
  • A positive and service-oriented attitude
